Transaction Coordination Services


Primary task is to encourage communication between all parties in the contract and to assist with reminders to meet all contingency dates within the Agreement of Sale. 

Review and organize office required documents and, with the guidance of the licensed/lead agent, help to obtain additional signatures as needed.

Upon request by seller, buyer, or licensee, we forward any and all documents associated with the transaction to the appropriate entities.
BUYER UNDER CONTRACT

 *Send out introductory email to clients, outlining critical dates including AOS and any other required documents

 *Set up file for all parties to stay connected - including reminders and notifications through our transaction management system

* Make timeline for client and agent to ensure deadlines are met and kept 

* Coordinate with Title on all aspects of the file

* Coordinate with lender on all deadlines/requirements 

* Ensure all required documents are promptly forwarded to listing agent

* Schedule and coordinate all property inspections 

* Coordinate Escrow Deposits

* Coordinate with township or borough to confirm if CO/U&O is required 

* Confirm and coordinate if HOA/Condo Docs and/or warranties are required

* Coordinate Appraisal 

* Obtain utility information for buyer 

* Confirm buyer has ordered homeowners insurance 

* Coordinate walk-thru with buyers 

 * Send all invoices to title

* Review ALTA statement with buyer and agent 

* Coordinate Closing Date/Settlement 

* Close out file

LISTING UNDER CONTRACT

* Remind Seller NOT to fill oil tank if applicable

* Contact buyer agent to request mortgage and title information 

* Confirm inspections have been ordered

*  Email lender to ensure written mortgage application has been completed 

* Receive copy of inspection report 

* Coordinate with HOA/CONDO Association to ensure documents are ordered and delivered to appropriate entity if applicable

  *Confirm with Township/Borough to determine if CO/ U&O is required and notify agent

* Contact buyers title company to ensure  payoff is ordered (title orders), ensure title company orders all certificates 

* Call seller regarding septic inspection, if applicable

*  Call Agent regarding appraisal and verify with lender

* Receive Reply To Inspections from Buyer Agent 

* Confirm with agent that sale price, seller assist, and commission is correct 

* Email lender regarding status of mortgage commitment 

* Confirm seller payoff has been ordered 

* Order warranty if part of AOS

* Remind seller of walk thru

* Confirm seller's transfer of funds prior to settlement 

* Email reminder regarding utility transfers

* Review ALTA with seller and agent 

* Send all invoices to title company

* Confirm whether sellers are attending settlement

* Email sellers settlement notice 

* Close out file
